You list your apartment on Airbnb and Booking.com to fill more nights. Then the same Friday gets booked twice, and you have to cancel one guest. The platform may charge you a penalty or hurt your ranking, and the guest is left looking for somewhere else to stay at the last minute.
A double booking (also called an overbooking) almost always has the same cause: your calendars don't talk to each other. This guide explains why it happens, how to stop it for free with calendar sync (iCal), and the habits that close the remaining gaps.
Why double bookings happen
Every platform keeps its own calendar. When a guest books on Airbnb, Booking.com has no idea, so it keeps selling the same nights until someone tells it otherwise. That "someone" is usually you, updating each calendar by hand, and the trouble starts the moment you are busy, asleep or travelling.
The most common causes:
- Manual updates. You forget, or you're slower than the next guest.
- Direct bookings. A guest pays you on WhatsApp or at the door and the nights are never closed online.
- Changed stays. A guest extends a night or moves their dates and only one calendar is updated.
- Calendars that aren't linked both ways. Booking.com reads Airbnb, but Airbnb doesn't read Booking.com.
- Last-minute bookings. Two guests book the same night within minutes of each other, before the calendars have refreshed.
The free fix: link your calendars with iCal
Airbnb, Booking.com, Vrbo and most other platforms support iCal: a calendar link that other apps can read. Each listing has:
- An export link. It shows the nights that are booked or blocked on that platform.
- An import option. It lets the platform read another calendar's link and block those nights automatically.
In your platform's calendar settings, look for words like "Sync calendars", "Export calendar" or "Import calendar". The menu names change from time to time, but the option is usually on the listing's calendar or availability page.
Option 1: link every platform to every other platform
With two platforms this is manageable. You put Airbnb's link into Booking.com, and Booking.com's link into Airbnb.
With three platforms you need six links, and every new listing adds more. Direct bookings still aren't covered, because WhatsApp or a notebook has no calendar link. This is where most hosts give up.
Option 2: one central calendar (recommended)
Connect every platform to one central calendar instead:
- The central calendar imports each platform's export link and sees every booking.
- Each platform imports one link from the central calendar with all the nights booked anywhere else, including your direct bookings and the dates you close yourself.

- Never add a booking only in your head or in WhatsApp. Put every direct booking into your central calendar straight away, so the nights close online.
- Close dates in one place. For repairs, family visits or deep cleaning, close the nights once in Empty to Booked instead of on each platform.

What to do if you're double-booked anyway
Even with good habits, it can happen. Act quickly:
- Find the booking that came second. Your central calendar shows which platform it came from and when.
- Contact that guest straight away. Apologise and explain clearly. Offer a similar or better unit nearby if you have one.
- Ask the guest to cancel, if they agree. A cancellation by the guest usually costs you less than one by the host. Every platform has its own rules, so read your platform's host cancellation policy.
- Find the gap. Check whether one platform wasn't reading your link, or a direct booking wasn't added, and fix it so it doesn't happen again.
